Privacy policy

So When helps friends find a time to hang out. This policy explains what information we use and why.

Information we store

We store your account information, including your email and name, the invites you create, activities, duration, location notes, time options, friends’ first names and their answers. Friends can answer without an account. A saved identifier on their device lets them return and change their group answers.

Your Google Calendar

Connecting Google Calendar is optional. We only read when you’re busy or free, never event titles, descriptions, guest lists or other event details. We can show the names of your calendars so you can choose which count as busy. We use availability to suggest times and recheck a time before a plan is set.

If “Add booked plans to my calendar” is on in Settings, we create an event on your calendar when a plan is booked. The event uses the plan’s activity, time, friend’s name and any location note. You can turn this setting off.

Google authorization is handled through our connection provider. Connection credentials are kept on the server, encrypted, and are not shared with friends or exposed in their browsers.

How we use and share information

We use your information to run So When: create links, suggest times, remember answers and show the final plan. Anyone with an invite link can see the plan and offered times. On group links, they can also see friends’ names and which times they selected. Share links only with people you want to see that information.

We don’t sell your data or use Google Calendar data for advertising. Service providers that run our hosting, account access and calendar connection may process information to provide those services. We may disclose information when required by law or needed to protect people and the service.

Google’s Limited Use policy

So When’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google data only to provide the scheduling features you choose. We do not sell it, use it for personalized advertising, or use it to train generalized artificial intelligence models. We do not allow people to read your Google data except with your permission, for security purposes, to comply with applicable law, or as permitted by that policy.

Your choices and deletion

You can disconnect Google anytime in Settings. You can also revoke access in your Google Account. Disconnecting stops future calendar access; it does not delete invites or plans you already created.

We keep account and plan information while it is needed to provide the service. To request deletion of your account and associated information, email sheilasheridan20@gmail.com from your account’s email address. We may need to verify your request. Limited records may be retained when required by law or for security, and backup copies may remain until they expire.
